Kolleno’s latest update takes your invoicing to the next level with powerful new features, including automatic credit limit sync with Business Central, advanced filters, bulk payments, and enhanced workflow automation. Manage NetSuite sub-customers, invalidate outdated URLs, and enjoy advanced reporting—all designed to boost efficiency and simplify your customer management.
1. Credit Limits from Business Central
The credit limit that you enter in Business Central is now automatically synchronized in Kolleno. No need to maintain it in 2 different places.
2. New Filters
Several new filters have been released:
- Credit Limit Utilisation Percentage: the total (in percentage) of the credit limit used by customers.
- Task Status: in the Tasks Manager, view only specific tasks.
- Inv. source date created: filter based on when the invoice was created in your ERP.
- Days overdue most overdue invoice: find the customer whose most overdue invoice is a given number of days.
- Inv. date of company last communication: the last communication sent by your company to your customer regarding specific invoices.
3. Invalidate Customer Portal URLs
You should always send Customer Portal links to your users using the Kolleno Smart Fields. It enables Kolleno to dynamically generate the correct URL based on the customer you send it to.
However, if, for instance, one of your colleagues copies the exact URL and sends it from outside Kolleno, you might want to mark it as invalid. This feature in the Customer Hub enables you to invalidate all URLs created before a specific day and time.
If you enter a date far in the future, no Customer Portal URL will be available for this Customer (past or future).
4. Business Central: main contact as primary
Any customer contact details imported from Microsoft Business Central can now be automatically marked as the primary contact. To activate this feature, simply reach out to your Customer Success Manager, and enjoy seamless integration between your systems
5. Manually Re-Synchronize your Custom Integration
If your data is synchronized with Kolleno via one of the custom integrations, it is possible from time to time that your company will be down for maintenance or other reasons. In those cases, you will want to manually re-synchronize the data available in Kolleno.
6. Bulk Payments
With Kolleno’s new Bulk Charge feature, managing multiple invoices has never been easier. Select multiple invoices, apply filters, and with just a few clicks, initiate bulk charging. The system smartly handles payments based on your customer’s methods, ensuring smooth transactions.
This update is designed to streamline your invoicing process, saving you time and effort while boosting efficiency.
Please note you also have the option to Auto-charge your customers without any manual effort needed.
7. ‘Payment Registered on ERP’ Level Workflows
When a payment is registered in your ERP system, you can trigger an automated workflow to notify your customers instantly. This is different from the “Payment Paid/Failed/Charged Back” workflows, which are only for payments made through Kolleno.
Set up customized email templates, apply specific filters, and configure everything to run automatically—ensuring faster communication and smoother payment confirmations.
8. NetSuite Sub-Customers
Kolleno syncs NetSuite sub-customers as Customer Groups, preserving the customer hierarchy within your system. This allows you to manage parent and sub-customer relationships easily and even automate workflows targeting the ultimate parent entity. All linked customers, including “grandchildren,” are visible within Kolleno.
9. Promise to Pay – Related Invoices References
The Promises to Pay report contains a new column that shows the invoice references for every promise to pay.
10. Detailed Aging Report – New Columns
In the sheet ‘Detailed’ (invoices), the last column provides the list of Tags for that invoice.
Both the ‘Summary’ (customers) and ‘Detailed’ (invoices) sheets in the Excel report contain columns that show when the note was created and when it was last modified.
The note for the related customer or invoice shows the most recently edited note for that customer/invoice.
11. Tables – Persistent Sorting
When you sort a column in the available tables and change screen, when you come back to that table Kolleno remembers the sorting. This improves your experience when switching between screens.
12. Workflow Impact report for Customer Group and Invoice levels
In addition the Customer level workflows available in the “Workflow Impact” report in “Payments & Collections”, you also have the ability to get the data about your Customer Group and Invoice level workflows.
