At Kolleno, we are always listening to your feedback and looking for ways to make your day-to-day tasks faster, easier, and more accurate. This month’s product updates are all about boosting efficiency, increasing visibility, and giving you more control, whether you are sending emails, syncing data from your ERP, or managing payments and refunds.

This is the list of all updates this month:

Now, let’s explore each in more detail.

1. Auto-Save Draft Emails

We know how easy it is to start an email and get pulled into something else. That’s why we’ve introduced automatic email drafts in Kolleno.

Now, when you start writing an email, your progress is saved every 2 seconds—no need to click “Save draft.

If you navigate away from the screen, your draft will still be there when you return. Just head back to the customer profile and look in the bottom right corner, or click +Action > Email to pick up exactly where you left off. No more lost work.

2. View the ERP Customer and Invoice ID

Your customers in Kolleno are linked to a specific identifier in your ERP/accounting platform. Kolleno uses that ID in the background to link and synchronize customers and invoices. Now Kolleno has added that information in the Customer Hub so you can see it for:

3. New Columns to Send in CSV Connector via SFTP

If your Company imports data into Kolleno using the CSV via SFTP connector, you can now send the following new values:

  • credit_limit_amount” on the CUSTOMER record to automatically set the Credit Limit Amount
  • primary” on the CONTACT record to decide if the customer is a primary contact or not

4. Use NetSuite Exchange Rates in Kolleno

You can now use exchange rates directly from NetSuite to convert financial records into your Kolleno Company Currency.

By default, Kolleno uses its internal rates, but with this feature enabled, Kolleno will apply the “Exchange Rate” set in NetSuite for Invoices, Credit Notes, Payments, and Journal Entries.

If no rate is available from NetSuite, Kolleno will automatically fall back to its own rate. This feature is available on request—just contact our support team to activate it.

5. New Filters Available Pre/Overpayment Filters + Date Created Filter

Kolleno has introduced new filters to better help you target exactly the records you need:

  1. Is the ERP Payment a Prepayment?
  2. Is the ERP Payment an Overpayment?
  3. When was the Customer imported in Kolleno?

The new ERP Payment filters can be handy in your Workflows:

and for cross-checking (or sometimes your workflows), you can check how many days ago was the Customer imported into Kolleno:

6. Fetch Custom Fields from NetSuite Credit Memos

Kolleno can now fetch custom fields from your NetSuite Credit Memos records and bring them into Kolleno as filters and/or columns in your tables. This great feature was already available for Customers and Invoices.

7. Issuing Refunds from Kolleno to Business Central

You can issue customer refunds directly from Kolleno, and they will be automatically synced with Microsoft Dynamics 365 Business Central.

When a refund is initiated through Kolleno, it is processed via your PSP and a corresponding refund document is posted to Business Central using the same document number as the original payment.

The original payment is unapplied from any associated invoices and applied against the refund, ensuring accurate reconciliation. Please note that refunds initiated outside of Kolleno will not be reflected in Business Central.

8. Displaying NetSuite Journal Entries

Kolleno has been synchronizing NetSuite Journal Entries balance for a while, but now you can also view these journal entries on the Customer Hub, by clicking on the sub-tab “Journal Entries”.

Please note that this feature is currently only available with NetSuite.

9. Date Displayed in Promise to Pay Icon

When looking at the list of invoices, the icon identifying a Promise to Pay on the Invoice now shows the date of the promise:
