Multiple Email Profiles

Announcing a new feature that makes managing your email communications in Kolleno more flexible and efficient: Multiple Email Profiles.

New Unassigned Communications

Kolleno has completely re-designed the unassigned communications screen with:

  • Ability to multi-select to delete several communications at once
  • Capability to search by both customer name and invoice reference
  • Kolleno AI Copilot suggestions is analyzing the email with Generative AI to offer suggestions when it could not be automatically assigned:

Like before, once you assign a few communications, Kolleno does not assign automatically, and Kolleno remembers forever, and you will not need to do it again.

Workflows Visibility on Customer Hub

It is easier to view both current and previous workflow enrolments for your customers.

On the right-hand side of the Customer Hub, you’ll find the “Workflows” section. This now provides a complete view of a customer’s workflow history:

  • Current Workflow Enrolments:
    • See the workflows the customer is currently enrolled in.
    • View key details such as the workflow name, join date, last action date, and the current node, including whether it’s awaiting user action.
  • Previous Workflow Enrolments:
    • Click the “View Previous Workflow Enrolments” button in the same section to explore past workflows the customer participated in.
    • Use the dropdown at the top-left to toggle between records and get a complete overview of the customer’s historical enrolments.

These updates give you a seamless way to manage and understand your customers’ workflow journeys.

NetSuite OIDC – Connect via Single Sign-On

Announcing our new NetSuite Single Sign-On (SSO) integration via OpenID Connect (OIDC), making it easier and more secure to connect your NetSuite account to Kolleno.

  • Streamlined Access: Simplify your access management by using a single set of credentials to access both NetSuite and Kolleno. No more juggling multiple logins or resetting forgotten passwords.
  • Centralized User Management: Administrators retain full control over access permissions through NetSuite. This allows precise management of who can connect to Kolleno, ensuring compliance with organizational policies.

Send Manual Emails even if PDFs are not available

This is a new feature to ensure your manual email sends smoothly, even if PDFs from your ERP system (or SFTP folder) are unavailable at the time of sending.

Key Highlights:

  • Uninterrupted Manual Email Sending: Avoid delays in sending manual emails due to unavailable invoice PDFs. With this feature, emails can still be sent without requiring the PDF attachment (even touch the “Attach invoice/credit note PDFs” checkbox is selected.
  • Customizable Setting: This functionality is configurable at the company level. Simply reach out to support@kolleno.com to enable this feature for your organization.

Payment Synchronization Status Logs

When a payment is made via Kolleno, it synchronizes with your ERP system (same as for payment refunds). You may want to find out the exact payment record created by Kolleno or the error returned by your ERP.

Dashboard – Net Balance

In the top-left of the dashboard, the “Total Outstanding” has been replaced by the “Net Balance”.

You can read how the net balance is calculated.

Attach Credit Notes PDFs to your Emails

When writing an email or a note, you can select the credit notes it relates to, the same way as you were doing for invoices:

In addition, you can automatically attach the credit notes PDFs to your email:

Filter by Automatic Payment Method

A new filter “Automatic payment method” at the Customer level lets you filter your customer by the auto-pay value they have set on in the Customer Hub.

Stripe Network Costs in Payouts

Kolleno was already considering the Stripe fees when pushing the Stripe payouts to your ERP. It is now also considering the Network costs.

NetSuite Department/Class for Cashback

When a payout from your Payment Service Provider is detected by Kolleno, a Deposit record is created in NetSuite by Kolleno. The cashback, which includes the fees from your PSP, can have a different department and class than from the Deposit itself. Please contact Kolleno support to help you configure this.

Displaying a Promise to Pay icon

When looking at the list of invoices, you will see a new icon next to the invoice reference. This icon shows up if the invoice currently has an active promise to pay.

Show ISO Currency Code

Kolleno shows the three letters of the ISO code of the currency rather than the symbol sign wherever possible.

This is to avoid confusion when several currencies have the same symbol (such as $).

Filter by Deactivated Users

When using a filter to go through the Kolleno users, such as “Account Owner”, you can filter by deactivated users if you are an ADMIN on the Kolleno platform. They will appear at the bottom of the list of users.

When writing an email to send manually, you will most of the time search a template. Some of you asked for a search field to be able to look into your favorite template names. So we built it:
