At Kolleno, we are all about making your operations smoother, smarter, and more automated so you can focus on what truly matters: strategic growth and customer relationships.

This month, we’re introducing a wave of enhancements that give you more control, visibility, and flexibility in managing your accounts receivable, workflows, and financial data.

1. Table Views – Change Columns and Save Views

Kolleno is excited to introduce enhanced Table Views, designed to simplify and optimize your data management and collaboration.

Key Features:

  • Customizable Filters: Save and share filter sets as named views, allowing for quick access and team-wide consistency.
  • Column Management: Reorder and hide columns to tailor the data presentation to your specific needs.
  • Quick Filters: Utilize predefined filters for rapid data sorting, enhancing efficiency in data handling.
  • View Sharing: Share customized table views with team members to ensure unified data perspectives.

These enhancements are now live, aiming to improve your experience with more organized and accessible data management.

2. Organization Dashboard (Multi-Companies)

Kolleno is excited to introduce the Organization Dashboard, a powerful tool designed for CFOs, finance managers, and senior financial leaders overseeing multiple company entities. This feature provides a consolidated view of financial performance across all your Kolleno company instances, streamlining multi-entity management.

Key Features:

  • Aggregated Financial Overview: Access a comprehensive summary of key financial metrics, including total outstanding balances and overdue invoices, across all connected companies.
  • Cross-Company Reporting: Generate unified financial reports that consolidate data from all your entities, aiding strategic decision-making without manual data compilation.
  • Multi-Entity Visibility: Compare financial performance across various business units or regions within a single interface, enhancing oversight and operational efficiency.

To enable the Organization Dashboard for your account, please contact your Kolleno Account Manager. They will assist in setting up this feature and ensure you have the appropriate permissions to access cross-company data.

3. Set the Customer Group Parent

This feature allows you to designate a parent entity within a Customer Group. This enhancement enables the ultimate parent to receive communications in Customer Group-level workflows, enhancing your accounts receivable processes.

Key Features:

  • Parent Entity Assignment: Define the ultimate parent for each Customer Group, ensuring centralized communication and efficient management.
  • Seamless Integration: Easily set or modify parent entities directly within the Customer Hub.

This feature is now live and aims to enhance your customer relationship management by providing clear hierarchical structures within your customer base.

4. Count of Records in a Workflow Trigger Filter

When setting up a workflow, you first set the filters of records to add to the workflow. Previously, you had a button to view the list of these records (e.g. Customers) who would join the workflow right now. Now, this button has a number (e.g. Customers, 63) displaying the total record count. It can help you narrow down the list without constantly needing to click to view the whole list.

5. Pause a Specific Workflow Run

It allows you to pause specific workflow run directly from the Customer Hub. This enhancement provides greater control over automated processes, enabling temporary halts in customer communications when necessary.

Key Features:

  • Individual Workflow Pausing: Pause a workflow for a customer until a specified date and time, directly from the customer’s timeline.
  • Flexible Control: Easily set or remove pauses as situations change, ensuring workflows align with current customer interactions.

This feature is now live, offering enhanced management of your automated workflows to better suit your operational needs.

6. Download or Open an Invoice/Credit Note PDF in a New Tab

Kolleno gives you the possibility to choose whether you simply want to view the PDF or your credit note or invoice, or you would rather download it on your computer.

7. Deactivate One-Time Payments

Depending on your business way of working, you might want to disable the possibility to do one-time payments on the Customer. Learn here how to do it.

8. Import Email Addresses Separated by Commas from your ERP

Kolleno does not allow to enter an invalid email address for your contacts. However, many of your contacts will come directly from your ERP where the data is not always clean (either for operational or technical reasons).

When importing the contacts from your ERP, if the email address field contains several email addresses, Kolleno now automatically handles it. As long as the email addresses are separated by commas or semicolons, when an email is sent to that contact, it will send to each email address in the field.

9. View your Payment Service Provider’s Customer ID

Your customers in Kolleno are linked to a specific identifier in your PSP (Payment Service Provider) platform. Kolleno uses that ID in the background to link payments and payment methods. Kolleno has added that information in the Customer Hub so you can see it for:

10. Transform your Numbers and Date Smart Fields

Kolleno supports advanced formatting options in templates, improving readability and consistency in your communications.

  • Number Formatting: Add thousands separators, convert large numbers into words, and apply ordinal suffixes.
  • Date & Time Formatting: Display dates as “today” or “yesterday,” and show relative times like “3 hours ago.”
  • Precision Control: Format decimals and convert small numbers into words.

These enhancements will make your templates clearer and more professional!

11. Select all Invoices on the Customer Portal

Kolleno has enhanced the Customer Portal, enabling your customers to select all invoices for payment with a single click, across all pages.

By clicking “Select all X invoices” on the left side, customers can choose all invoices across multiple pages.

This is particularly useful for companies who have customers with hundreds of open invoices at the same time – and the customer wants to make one big single payment for them.

12. Manual Synchronization of a NetSuite customer

We’re excited to introduce Manual Synchronization, allowing you to instantly sync customer data from NetSuite to Kolleno. While our automated processes run with near real-time synchronization (up to a few minutes) and redundancies overnight, this new feature ensures you can update records in real-time whenever needed—no more waiting for the next scheduled sync.

Simply navigate to the Customer Hub, go to Configuration, and trigger Manual Synchronization with one click. This update provides greater flexibility and control over your data, ensuring Kolleno always reflects the latest financial information from your ERP.

13. Reporting – New Column and New Report

  1. The “Detailed Aging” report has a new column “Credit Limit” showing the maximum allowed credit limit for this customer.
  2. New report to know all the records (Customers, Customer Groups, Invoices, Credit Notes, Payments, Kolleno Payments) that cannot progress due to an error. It returns the information about the records: when they joined, when was the last workflow action, and what is the error.

14. Caching Invoice PDF

Some ERPs can be slow in retrieving and returning the PDF of your invoices to the user. Kolleno has implemented new caching that will save the PDF on first retrieval via Kolleno so that any subsequent retrieval will take a few milliseconds instead of sometimes 30 seconds depending on the ERP (most accounting software and ERP return it in under 3 seconds).

This setting is activated by default and can be deactivated on demand.
